Scan With Google Drive

How to Scan With Google Drive offers a document scanner, allowing you to scan and upload files as PDFs. This feature is designed to make scanning and organizing documents easier.[1]

This update is a part of Google’s larger effort to reposition Drive as a system of record for large enterprises that have unique needs. These include data loss prevention, governance, retention policies, and legal holds.

Google Drive’s document scanner allows you to quickly scan and upload documents to your drive. This is useful for taking photos of whiteboards, receipts, and other documentation that you need to have accessible on your mobile device.

It also provides a great way to cleanly scan documents that are otherwise difficult to edit or print. Microsoft Office Lens, an app for Android and iOS devices, has a similar UI for scanning documents and other files. However, Microsoft Lens has a much more visual makeover than Google Drive’s document scanning app, and the buttons are easier to use. Although none of the buttons worked when we tried it out, it is worth checking out![2]

Protect with a PIN

Google Drive’s scanning features have been designed with enterprise users in mind. As such, they support data loss prevention (DLP), governance, retention policies, and legal holds. These capabilities may not be the flashiest or most exciting, but they’re essential to making Drive a credible replacement for on-premises file stores.

The ability to apply a PIN to the document scanner ensures that only authorized users can access it, which is a key feature for large businesses with strict privacy regulations. It also helps Google position Drive as a viable alternative to on-premises document repositories. The company is constantly reworking their product roadmap to meet the unique needs of commercial customers.[3]

If you use an Android device, there’s a hidden feature that allows you to scan documents right from Google Drive. It’s a pretty clever way to save time and get your work done quickly.

However, this feature does come with some drawbacks. For starters, it doesn’t work as smoothly as it could and it can be a bit clunky.

Configure scanning options

If you want to use the Cloud Storage Scans feature in Data Sense to scan files stored on your users’ Google Drive accounts, you need to configure some options. First, you need to make sure that Cloud Data Sense has Admin user credentials to log into the Google Drive account. Next, you need to add that Google Drive account as a new data source.[4]

Then, you need to set a few scan settings on the Web Security Scanner page in the Google Cloud console. These settings control how Google Drive is scanned, as well as the files that are excluded from the scan.

In addition, you need to specify a list of starting URLs for each app that you want to scan. For example, if you have an App Engine, Compute Engine, or GKE application deployed, you can select it from the list and then enter the URL in Starting URLs.

Next, you need to select a date for the scan. Defaults are given, but you can edit the date if you wish.

When the scan is complete, you can either save it to your Google Drive account or you can upload it to another location in the Cloud. You can also crop the image and rotate it, as well as adjust its color.[5]

This is especially helpful if you are scanning multiple-page documents or other large files. You can also enable OCR to recognize text from a scanned file, and you can create a PDF file that includes both the image and the text in one document.

There are several ways to scan with your phone using Android, but one of the easiest is to use Google Drive. It generally comes pre-installed on most Android devices, but you can download it from the Play Store if you don’t have it installed. The easiest way to use it is to open the Google Drive app, tap the plus sign at the top-right corner, and then choose Scan.

Repeat for additional accounts

One of the most fun aspects of using a cloud-based storage solution like Google Drive is synchronizing files across multiple devices, both inside and out of your office. In particular, Google Drive enables the aforementioned syncing of scanned documents on the go and is a handy way to back up your mobile phone for offline viewing. The best part is that it’s free.

Creating a GDrive account may seem daunting at first, but it’s a breeze once you get started. As with any new account, you’ll want to be sure to use a password that’s hard to guess but easy to remember.[6]

Scan with your phone

If you have an Android phone with a camera, you can scan documents with the Google Drive app. It’s a great option for quickly scanning receipts, customer information, and other important papers while on the go.

When you’re done, the file will be saved as a PDF to your Google Drive account. You can also share it with friends or family using email, Skype, or other sharing apps.

In addition, Google Drive offers a few handy options for improving your scanned images. These include a color enhancement button, a crop tool, and more.

You can also retake a scan if the image turns out blurry or poorly-aligned. This is especially useful for large-sized documents.

Once you’re done with the scanning process, Google Drive will save the document to your drive, where it can be accessed through the Google Drive app. You can also rename it or add an annotation.

It’s also possible to create a shortcut on your home screen that directs you to the Scan feature within the Drive app. You can do this by pressing and holding any empty space on your home screen.[7]

Using a networked scanner or multi-function device that connects to Google Drive is another convenient way to scan documents on the go. Many of these devices have a Scan to Google Drive shortcut built-in, but you can also set one up in your device’s Settings app if it doesn’t.

In the Settings menu, you’ll also find a Scan button, which is what you use to actually scan something. This function will automatically format the picture into a PDF, and then save it to your Google Drive account.

You can also choose the file format to save the scanned image in. The default is PDF, but you can choose PNG or TIFF if the item you’re scanning has color.

The settings menu also includes a redo button, which is helpful when the scan turns out to be poorly aligned or blurry. You can also change the document’s paper size or orientation with this menu.

It may take several attempts to get a good, straight-on shot of your document before you can get it scanned and ready for saving. This is particularly true if the document has a complex layout or a lot of text.

Find the Google Drive App

When you use the Google Drive app on your Android or iOS device, it is possible to scan documents and photos directly to your account. This is a great feature to have especially when you are traveling and want to save space on your phone or tablet.

While this feature doesn’t have a lot of extra features, it is very fast and easy to use. All you have to do is take a picture of the document, and it’ll be scanned right into your file.[8]

This is a great feature to have for when you are in a hurry and need to get a document to someone quickly. This is especially handy when you have a bunch of files that you need to scan and send at once.

The Google Drive app also includes a scanner option that you can use to turn any document into a PDF. This option is free and it’s a great way to save time when you are scanning files for your Google Drive account.

There are some limitations to this feature, however. The best way to get the most out of this feature is to make sure that your camera can properly scan the documents you are trying to scan. This can be tricky if you’re using a phone that doesn’t have a good camera or if you’re trying to scan something on a table.

Another limitation to this feature is that you can only upload a single file at a time. This can be confusing if you have multiple folders in your Google Drive account and you need to upload a file in order to move it to a new folder.

If you are interested in scanning a lot of different types of documents, then you may need to look into third-party apps that support the Google Drive format. These apps can scan all kinds of different file types, including PDF files and scanned images.[9]

One of the most powerful aspects of the Google Drive app is its search bar at the top of the screen. It’s smart enough to recognize keywords, even if the files you upload don’t have editable text, and it will do image recognition as well. This makes it a great tool for scanning anything from a picture of the Statue of Liberty to a file of a baby’s handprint.[10]
